Terms of use
For the GuardBoard service. Last updated 23 October 2026.
1. About these terms
GuardBoard is provided by Albrighton Group Services Ltd, registered in England and Wales, company number 13057321, registered office Creative Industries Centre, Glaisher Drive, Wolverhampton Science Park, Wolverhampton WV10 9TG ("we", "us"). These terms apply to every company that uses GuardBoard ("the customer") and to everyone the customer gives access to. A signed quote or order form, if there is one, takes priority over these terms where they differ.
2. The service
GuardBoard is an online system for running security operations: rotas and shifts, the officer app, checks and alerts, incidents and site logs, patrols, compliance records, timesheets, invoicing and a client portal. What each customer can use depends on the package and add-ons agreed with us. We may improve or change features over time; we will not take away a main feature the customer is paying for without reasonable notice.
3. Accounts and access
- The customer names at least one administrator, who invites the customer's staff and clients and decides what each person can see.
- Everyone keeps their own sign-in details private. Managers must use 2-step verification where GuardBoard asks for it.
- The customer is responsible for what its users do in GuardBoard and should tell us straight away if it thinks an account has been misused.
4. The customer's information
Information the customer and its users put into GuardBoard belongs to the customer. The customer is the data controller for it and is responsible for having a lawful basis to use it and for telling its staff and clients how it is used. We are the customer's data processor: we use the information only to provide and support the service, keep it secure and confidential, keep each customer's information separate, and help the customer meet its data protection duties. Our privacy notice explains more, and our data processing terms are available on request.
Officers' selfies, locations and other records are kept for the periods set in GuardBoard and the customer's own retention settings.
5. Acceptable use
The customer must not, and must make sure its users do not: use GuardBoard for anything unlawful; put in information they have no right to use; try to get into another company's information or any part of GuardBoard they have not been given access to; interfere with or overload the service; or copy, resell or reverse-engineer it.
6. Prices, invoices and payment
- Prices are those in our quote or order form, or our published package prices, plus VAT.
- Monthly subscriptions are invoiced in advance each month; yearly subscriptions are invoiced in advance for the year. Payment is due within 30 days of the invoice unless agreed otherwise.
- If an invoice is overdue, we will remind the customer first. If it stays unpaid, we may pause the customer's access until it is paid; access returns once it is paid.
- A free trial, if offered, ends on the date shown in GuardBoard. The customer's information is kept if the customer then subscribes.
7. Availability and support
We aim to keep GuardBoard available at all times and monitor it constantly, but we cannot promise it will never be interrupted, for example during maintenance or problems with our hosting providers. We back up the service regularly. Support is by email at app@guardboard.co.uk or by phone on 0333 577 1777 during UK business hours. To help with a problem, our support staff may open the customer's account read-only; each visit is recorded in the customer's audit log.
8. Connected services
Some features work with services run by other companies, such as QuickBooks Online by Intuit. Using them is optional, and those services have their own terms. Connections can be removed at any time, and we only use what we receive from them to provide the feature the customer turned on.
9. Ending the service
Either side can end a monthly subscription with 30 days' notice; yearly subscriptions run to the end of the paid year. We may end or suspend the service straight away if the customer seriously breaks these terms. When an account is switched off, sign-in stops and the customer has 30 days to ask for an export of its information. After that we permanently delete it, except where the law requires us to keep something.
10. Responsibility
GuardBoard helps the customer manage its operation, but the customer remains responsible for its own security services, staffing decisions, legal duties (including licensing, working time and pay) and the accuracy of what it records. Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else the law does not allow to be limited. Otherwise, neither side is liable for indirect losses or loss of profit, and our total liability in any 12 months is limited to the fees the customer paid us in those 12 months.
11. Changes to these terms
We may update these terms. We will tell customers about important changes at least 30 days before they apply; the date at the top shows the latest version.
12. Law
These terms are governed by the law of England and Wales, and the courts of England and Wales deal with any dispute.
